List reviewed in October 2026 against the version in production. When anything here changes, this page changes.
01
Publishing and measuring
What people looking for a social media tool or campaign results ask for. PortaliaFlow isn't that.
Publishing or scheduling to social networks
The calendar doesn't publish or schedule to any network. The “Published” status is set by you when the piece goes out.
Instead The content calendar by day and channel, with statuses from draft to published and every piece linked to its approval. You publish with the tool you already use.
Connecting to Meta, Google Ads, Analytics or TikTok
It doesn't connect to any ads or analytics platform. There is no reach, leads or return inside the portal.
Instead The operations report: average approval time per client, approval rate, content published, pipeline funnel and overdue items. Every figure opens its tasks and exports to CSV.
PDF or branded reports
There are no downloadable reports with your logo and no campaign reports to send to the client.
Instead The report on screen and in CSV, plus a weekly email summary: on Monday, the agency's to your team and each client's own to them.
02
Charging, invoicing and paying
Money coming in doesn't go through the portal. What you owe freelancers is worked out here.
Invoicing, quoting or sending proposals
It doesn't issue invoices, quotes or proposals, and there is no digital signature.
Instead You record each client's monthly fee, and with it you see revenue per client and cost against budget per project. You invoice with the software you already use.
Paying your subscription from the portal
There are no plans, no self-service sign-up and no payment inside the app. Each agency is an instance we set up.
Instead A call, a demo and the setup. The price is published on the landing page.
Paying freelancers from the portal
The portal works out what you owe each person, but it doesn't move money.
Instead A rate per person and piece type, a cost that becomes payable when the piece is completed, amounts owed per person and period, expenses with approval and CSV export. You pay from your bank and mark it as paid.
03
Signing in and protecting
What your client's IT lead will ask you.
Two-factor authentication (MFA) or security keys
Access is with email and password. There is no second factor.
Instead A password of twelve characters or more, attempt limits and lockout, reset by email with a single-use link and every open session closed when it changes.
Sign in with Google or Microsoft (SSO)
There is no social or corporate sign-in.
Instead Access by invitation only, with a role. Nobody gets into your portal unless you or a manager invited them.
Certifications and a data processing agreement in the app
We don't hold ISO 27001 or SOC 2, and there is no processing agreement to accept inside the portal.
Instead A sheet with facts: dedicated instance in the EU, encryption, daily backups with tested restores and an access log. The processing agreement, if needed, is signed outside before we start.
Exporting or deleting the account with one button
There is no “download my data” or “delete my account”: deletion is done by an administrator on request.
Instead Files are downloaded from the Library; finances and reports export to CSV. A full export of the instance is requested from us.
High availability
One machine per agency. If it fails, it's restored from the backup; there is no second machine standing by and no recovery time guaranteed by contract.
Instead Daily backup of the database and the disk, a backup before every change, tested restores and alarms if a backup doesn't run.
The full sheet on where the data lives, who sees it and how it's protected is in Security and data.
04
Notifying and talking
Notices arrive in two places: email and the portal's bell. Nothing else.
Real-time chat
There is no general chat for the agency or with the client.
Instead A thread per piece with the client, on the approval itself, and an internal conversation per task with @mentions that the client never sees.
Slack, WhatsApp or push notifications
It doesn't connect to any messaging app and doesn't send notifications to phones.
Instead Emails from your agency's sender, in each person's language, with a log of delivered, bounced and opened; and the portal's bell with the latest updates.
A mobile app
There is no app in the stores.
Instead It's a website adapted to mobile: your client opens the email, sees the piece and approves or requests changes from the phone's browser.
05
Connecting, importing and automating
With Google, yes. With everything else, not today.
Public API, webhooks or automation tools
There is no API, no webhooks and no connection to external automation tools.
Instead Google Calendar and Meet to see the team's availability and set up meetings, and Google Drive to browse your own folders from the Library.
Importing clients or history
There is no import of clients, tasks or past pieces.
Instead You start with the next piece. Any old ones you want to hand are uploaded to that client's Library.
Artificial intelligence
There is no AI feature of any kind: nothing reads, summarises or generates your content.
06
Customising and adjusting
What you change yourself in settings and what we do when we set it up.
Brand colours from settings
The portal's colours are fixed when it's deployed; changing them later is a change we make.
Instead Logo, favicon, name, login texts and legal links, and the email sender name, from settings.
Setting up your domain without us
The assistant checks the DNS record, but the subdomain and certificate are set up by us.
Instead You add the records we give you and the portal lives at clients.youragency.com with its certificate.
Adjusting the health formula or sending automatic surveys
The four health factors (response to approvals, activity, the client's score and overdue items) have fixed weights, the same for every agency, and no surveys are sent by email.
Instead Health from 0 to 100 with a real trend, calculated from a daily snapshot, and the 0-to-10 survey in the portal, which your client answers whenever they like.
Other languages
The portal and the emails are in Spanish and English. There are no others.
Instead Each person picks their language and gets their emails in it, your client included.
Briefs and guided client onboarding
There is no briefs module and no step-by-step assistant to onboard a client.
Instead The brief goes in the task description and the materials in the client's Library. Onboarding a client means creating their space and inviting their people.
If anything on this list is essential for your agency or for a client of yours, tell us on the first 20-minute call. If it doesn't fit, we say so there and don't waste 30 minutes of your time on a demo.
We don't promise “coming soon”
This page has no “in development” column. What isn't there, isn't there. When something changes in production, it changes here.
What it does do, it does every day
Everything the landing page says is in production and used by a real agency every day. If you want to see it by role, look at what you, your team and your client will see.
If what you're looking for isn't on this list, request the demo.
First a 20-minute call to see whether it fits; then we show you the portal with sample data.
