One-page summary

PortaliaFlow on one page, for whoever decides with you.

If the decision isn't yours alone, this is the sheet you forward to your partner, your management or whoever keeps the books: what it is, who it's for, what changes, what's included, what it doesn't do, where the data lives, how you start and what it costs. Nothing that isn't in production today. Printed, it fits on one sheet, both sides.

  • Fits on one sheet, both sides
  • Only what's in production
  • No sign-up

01

What it is

A white-label client portal for marketing and content agencies. Your clients approve pieces and see the calendar, the files and the health of their account on your domain, with your logo. Your team works in its workshop: tasks, a workflow per piece, numbered corrections and freelancer payments. Each agency has its own instance, hosted in the EU.

What it is
A portal for your clients and a workshop for your team, on your subdomain (clients.youragency.com), with your logo and your email sender. The portal doesn't show the PortaliaFlow brand.
Who it's for
Marketing and content agencies with several clients at once, whose pieces go past the client before they go out.
Who makes it
Accelera Nova Solutions SL (Madrid). We set up the instance, run it and answer for it.
How you get it
No automatic sign-up and no trial on your own: a call, a guided demo and we set it up for you. One monthly fee per agency.
02

Who it's for (and who it isn't)

Two honest lists, so nobody requests a demo that won't help.

It's for your agency if…

  • You produce pieces the client has to approve: reels, carousels, videos, stories, posts, newsletters.
  • You handle several clients at once and today you approve by chat, email and shared folders.
  • You work with a team, freelancers or both, and you want to know what you owe each of them at month end.

It's not worth it if…

  • You have a single client, or your pieces don't go through approval.
  • You want to publish to social networks, invoice your clients or get campaign reports from the same tool.
  • Your clients require two-factor authentication or sign-in with Google or Microsoft, or you work in a language other than English or Spanish.
03

What changes

It doesn't change how you talk to your clients: it changes where things get decided and what's written down.

SituationToday, by email and chatWith PortaliaFlow
Approving a pieceAn “ok” in a chat that you later have to dig for.A button on the piece itself. It records who approved, which version and when.
Requesting changes“Change that” in a voice note. Nobody knows which round you're on.Requesting changes requires a note. Every round is numbered and every delivery is a version.
The client doesn't replySomeone on the team chases them, careful not to wear them out.Three reminders from your sender. If they still don't reply, it alerts the account manager and you.
“What are you working on?”A sheet or a deck that's out of date by the next day.The month's calendar and the next 30 days in their portal, plus a summary every Monday by email.
Paying freelancersA spreadsheet at month end and “did I pay you for this?” messages. The cost is born with the piece and becomes payable on completion. Amounts owed per person.
04

What's included

Everything on this list works today at a real agency. No “coming soon” modules.

Client portal with your brand

Your client logs in on your domain, with your logo, and sees only their own work: no other clients, no internal tasks, no costs.

Approvals without chasing

Every piece has its deadline, its versions and its history of revisions.

Workflow per piece

Each piece follows its client's workflow: production, review, approval, publication. Every step has an owner and a “Done”.

Team production

Tasks as a list or a kanban board, grouped by person, with clear statuses from draft to completed.

Content calendar

One month per client, with every piece on its day and channel, from draft to published.

File library

Each client's files in their own space, with temporary, signed download links.

Freelancers and profitability

Production finances, without spreadsheets.

Client health and NPS

A score from 0 to 100 per client, with its trend, so you can see who is going quiet.

Reports and emails from your sender

Average approval time, approval rate, pipeline and overdue work. And every email goes out under your agency's name.

What's included, feature by feature

05

What it doesn't do (yet)

We say it here so there are no surprises in the demo.

  • Publish or schedule to social networks: the calendar marks a piece “published” when you say so, but it doesn't post.
  • Invoice your clients, or send quotes or proposals.
  • Connect to Meta, Google Ads or Analytics. No campaign reports and no PDF reports either.
  • Two-factor authentication (MFA) or sign-in with Google or Microsoft. No certifications such as ISO 27001 or SOC 2.
  • A native app: it's a mobile-friendly web app.
  • A public API, webhooks, Slack or WhatsApp.
  • Other languages: the portal and the emails are in English and Spanish.

07

How you start

Not just another account: we set it up for you.

  1. A 20-minute call

You tell us how you work: clients, team, freelancers and how content gets approved.

  2. Guided demo

We show you the portal with sample data, from the agency's view and from the client's.

  3. We set it up

We deploy your instance in the EU, on your subdomain, with your logo, colours and sender.

  4. You invite your team

Access is by invitation: you decide who gets in and with which role.

There is nothing to import: you create a space per client, invite their people and start with the next piece.

Getting started, stage by stage

08

What it costs

One fee per agency. No charge per client.

From €150 / month per agency

  • Dedicated instance hosted in the EU
  • Your brand, your subdomain and your email sender
  • Daily backups
  • English and Spanish

You get a fixed price after the demo, once we know how many clients and people will use it.

09

Next step

A 20-minute call to find out whether it fits and, if it does, a 30-minute guided demo with sample data. Whoever decides with you is welcome at the demo.

To forward this sheet

If you want to send it with two lines, these work as they are.

Message for whoever decides with you

Here's a one-page summary of a client portal I'm looking at, so our clients approve pieces there, under our brand, instead of over WhatsApp and email: portaliaflow.com/en/on-one-page

It has what it does, what it doesn't do and what it costs. If it works for you, I'll book a 30-minute demo and you come along.
